Cookie Policy

Cookie Policy

1. Purpose and scope of the policy

This policy describes the use of cookies and similar technologies on the Qulendra online store, which is built using Shopify and is primarily aimed at the Italian market. The site deals with furniture items, including bookcases and display cabinets, sideboards and storage furniture, kitchen organization furniture, and other panel-based or flat-pack furniture.

Cookies are small text files or technical identifiers that may be stored on the user's device or read during navigation. Technologies with similar functions may include local storage, session identifiers, technical pixels, and other tools necessary for the exchange of information between the browser, the store, the checkout, and related services.

This policy concerns exclusively such tools. Information regarding orders, payments, deliveries, returns, and support is processed according to the operational purposes related to sales and is not automatically converted into tracking data.

2. Data Controller

The controller of the data related to the use of the store is:

Qulendra

Address: 5556 DARRING ST, SATSUMA, AL 36572

E-mail: talkhelp@qulendra.com

Phone: +1 938 732 7122

Qulendra determines the purposes for which the tools necessary for the management of the site are used and establishes the settings available in the Shopify environment. Shopify provides the technical infrastructure, the checkout, security features, and other platform services. For activities performed on behalf of Qulendra, Shopify operates according to the contractual instructions received; for any processing determined autonomously by the platform, Shopify may assume a distinct role.

3. Applied principles

Qulendra uses cookies and similar tools in compliance with the following criteria:

only tools strictly necessary for the operation requested by the user are enabled by default;

non-essential tools must not be enabled before a valid choice by the user;

failure to accept optional tools does not prevent ordinary access to the store, cart, or checkout;

the choice must be free, specific, informed, and clearly expressed;

simple continuation of navigation, scrolling, or inactivity does not constitute consent;

the user must be able to modify or revoke their choice with the same ease with which they expressed it;

data collected must be limited to what is necessary for the stated purpose and kept only for the relevant period.

This policy does not state that all the optional categories described are active at all times. The tools actually used depend on the current configuration of the store, the necessary Shopify functions, and any technical services actually connected.

4. Strictly necessary cookies

Strictly necessary cookies allow providing functions requested directly by the user and can be used without prior consent. There remains, however, the obligation to provide clear information on their use.

In the context of a furniture store, such tools may be necessary to:

maintain a stable session while moving between product pages, cart, and checkout;

temporarily remember products, quantities, and variants added to the cart;

manage language, currency, and other technical preferences requested by the user;

correctly transmit the data necessary to conclude the order;

prevent anomalous requests, unauthorized access, fraud, and improper use of the checkout;

distribute traffic between the systems that make the store available;

store the choice expressed by the user regarding cookies;

recognize technical errors and maintain service continuity;

protect forms, payments, and communications between browser and platform.

Without these tools, operations such as maintaining the cart, confirming address, payment, or session protection might not function correctly.

Technical cookies can be session cookies, and therefore normally cease upon closing the browser, or persistent when it is necessary to remember a choice, protect the service, or recognize a session for a limited period. The duration is established in relation to the technical function and must not be longer than necessary.

5. Statistical tools

Any statistical tools may be used to understand in a general way how the site works, identify unavailable pages, navigation errors, or problems in moving between product pages, cart, and checkout.

When statistical information is aggregated, adequately minimized, and used exclusively for the technical optimization of the store, such tools may be managed according to the rules applicable to technical cookies. They must not allow the direct identification of the user, the combination with information collected for different purposes, or the transmission to further subjects for autonomous purposes.

If a statistical tool does not meet these conditions, it is considered optional and can only be activated after consent. Failure to accept does not prevent browsing furniture, using the cart, or completing an order.

6. Optional tools and consent

Any cookie or technology not strictly necessary, used to analyze user behavior in detail, connect activities performed at different times, customize content beyond what is requested, or create browsing profiles, requires valid prior consent.

Before making a choice, such tools must remain disabled. Options must not be pre-selected. The user must be able to:

keep settings limited to only the necessary tools;

accept all optional categories actually available;

select categories or purposes separately;

know the third parties potentially involved;

refuse or revoke optional tools without losing the essential functions of the store.

Closing the banner or panel without accepting maintains the necessary settings and does not equate to consent. The choice is recorded through a technical mechanism limited to documenting preferences.

Consent is not requested again at each access. It may be re-proposed when the purposes or subjects involved change significantly, when it is not technically possible to recognize a previous choice, or after a period of not less than six months from the previous presentation.

7. Management and revocation of preferences

The user must be able to review their preferences through the command or the area dedicated to cookie settings present in the store, when optional tools are used. A new choice replaces the previous one.

The revocation produces effects for the future. It does not make unlawful the use made before the revocation based on valid consent, but prevents the further activation of the tools concerned. Some cookies already present may remain on the device until deletion or their expiration; after revocation, they must not be used to pursue the purpose no longer authorized.

The browser also allows viewing, deleting, or blocking cookies. Generalized blocking can compromise indispensable functions, such as maintaining the cart, protecting the checkout, or storing preferences. Browser settings do not necessarily replace the consent management performed on the site and may erase the record of a previous choice.

8. First-party and third-party cookies

First-party cookies are managed by the domain visited and can be used by Qulendra or the Shopify platform to make the store's functions available.

Third-party cookies are set or read by a party other than the domain operator. They can be linked, for example, to a technical provider, a payment service, or an embedded function. A third party may act on behalf of Qulendra or determine some methods of processing autonomously.

Qulendra limits the integration of third parties to what is necessary for the functions actually used. Third-party tools that are not strictly necessary must be blocked until the user makes a choice. When present, the entity's identity, the purpose, and the available options must be accessible in the consent management system or in the linked information.

The carriers USPS, DHL Express, UPS, and FedEx receive the data necessary for shipping when one of them is assigned to a specific order. Simply using the site does not automatically result in the activation of carrier cookies. Any external link to the tracking system opens an environment managed by the carrier, to which tools determined by that entity may apply.

9. Shopify and platform operation

Shopify may use cookies and identifiers necessary to make the store available, protect transactions, maintain the session, manage checkout, and apply privacy choices.

The store configuration must prevent unnecessary Shopify tools and any linked pixels from starting optional processing before consent is given, when required. Qulendra verifies that the settings of the platform and the applications actually installed are consistent with the choices shown to the user.

The technical list of identifiers may change following platform updates, security modifications, or component replacements. Such changes do not authorize the silent introduction of new purposes. If a change significantly impacts the categories, recipients, or purposes, the information is updated and a new choice is requested when necessary.

10. Data collected through cookies

Depending on the tool used, the following may be processed:

IP address or part of it;

date and time of the request;

session ID;

device type, browser, and operating system;

language and technical settings;

page visited and technical sequence of requests;

shopping cart content and checkout status;

signals relating to security or anomalous attempts;

choice expressed regarding cookies;

aggregated information on the proper functioning of pages.

Necessary cookies are not used to reconstruct personal interests unrelated to the sale or to derive irrelevant information. Qulendra does not request full payment card data, security codes, or passwords through cookies.

11. Duration and retention

Duration depends on the function:

session cookies normally remain active until the browser is closed or the session ends;

cart cookies may last for the period necessary to maintain the user's selection;

security cookies are stored for the time necessary to prevent abuse, verify anomalies, and protect the checkout;

cookies documenting preferences may be stored at least for the period necessary to avoid unjustifiably re-presenting the banner;

any statistical tools comparable to technical ones must have a proportionate duration and use minimized data;

optional tools, when present and authorized, must not have a duration longer than that declared for the relevant purpose.

The expiration of a cookie does not necessarily coincide with the retention of data already transmitted to a system. The technical data received is kept only for the time necessary for security, error diagnosis, documentation of choices, and management of any disputes.

12. International transfers

Since Qulendra has its contact address in the United States and uses Shopify, some technical information may be processed or made accessible outside the European Economic Area.

Such transfers must take place on the basis of a valid mechanism and with measures proportionate to the risk, such as a decision recognizing an adequate level of protection or appropriate contractual safeguards. Qulendra limits the data transferred to what is necessary for operation, security, and preference management.

Consent to optional cookies does not automatically replace the safeguards necessary for an international transfer. The lawfulness of storage on the device and that of the subsequent transfer must be evaluated separately.

13. Security

Qulendra adopts reasonable measures to protect data generated by cookies and similar tools, including access limitations, secure connections, platform configurations, reduction of data communicated to providers, and checks on tools actually connected to the store.

No technology eliminates every risk. In the event of unauthorized access, loss, or disclosure, Qulendra assesses the incident, limits the consequences, and fulfills applicable documentation and communication obligations.

14. Minors

The furniture store is not specifically directed at minors. Strictly necessary cookies may function regardless of the user's age because they are used for security and requested functions.

Optional tools based on consent must not be activated when a valid choice is not available. If there are elements that lead to a reasonable belief that consent was not validly given, Qulendra must deactivate the optional processing and verify the situation.

15. Data subject rights

When data generated through cookies or similar tools can be linked to an identified or identifiable person, the data subject may request:

access to data and information on the processing;

rectification of inaccurate data;

erasure, when the conditions are met;

restriction of processing;

portability of data provided and processed by automated means, where applicable;

objection to processing based on a legitimate interest;

withdrawal of consent for optional purposes;

information on recipients and international transfers.

The request can be sent to talkhelp@qulendra.com indicating sufficient elements to identify the data subject and the relevant navigation. Qulendra responds without undue delay and normally within one month. If the request is complex, the deadline may be extended, informing the data subject within the first month.

The user may also lodge a complaint with the Data Protection Authority (Garante per la protezione dei dati personali).

16. Updates

This policy may be updated when the Shopify configuration, technical functions actually used, cookie categories, entities involved, or consent management methods change.

The updated version shows the revision date. A change does not retroactively make valid a processing operation that required consent at the time it was performed. When the change significantly concerns an optional purpose or a new entity, a new choice is requested before activation.
